Payroll Register
A payroll register is a detailed summary record that lists every employee's gross pay, itemized deductions, and resulting net pay for a specific pay period, providing a comprehensive overview of an entire payroll run in a single consolidated document. The payroll register serves as an important internal recordkeeping tool, distinct from individual employee pay stubs, which show similar information but only for a single employee at a time. A typical payroll register organizes data by employee, showing figures such as regular hours worked, any overtime, gross earnings, each category of tax withholding and deduction, and final net pay, often alongside year-to-date totals for each category. This consolidated view allows finance and HR teams to quickly review an entire payroll run for accuracy, identify any outliers or unusual figures, and support broader financial reporting and audit needs. Maintaining accurate payroll registers is also important for compliance purposes, since many jurisdictions require employers to retain detailed payroll records for a specified period. Most payroll software automatically generates a payroll register as a standard output of each payroll run, giving companies an organized, auditable record of every payroll cycle processed.
