Paid Time Off Policy

A paid time off policy, commonly abbreviated as PTO policy, is a company's formal set of rules governing how much paid leave employees accrue, how that leave can be used, and any related procedures for requesting and approving time away from work. PTO policies typically consolidate various types of leave, such as vacation and personal days, into a single combined bank of time, rather than tracking each category separately. A well-defined PTO policy usually specifies the accrual rate at which employees earn time off, whether based on tenure, hours worked, or a flat annual allotment, along with rules around carryover of unused time from year to year, the process for requesting time off, and how PTO is handled upon an employee's departure from the company. Some companies structure their policy with a fixed annual allotment, while others have moved toward more flexible or unlimited PTO approaches. Beyond meeting any applicable legal requirements, a thoughtfully designed PTO policy plays a meaningful role in supporting employee wellbeing and preventing burnout, since access to adequate rest and personal time is closely linked to overall job satisfaction and long-term retention. For companies with international teams, PTO policies often need to be adapted country by country to comply with local statutory minimum leave requirements, which vary considerably around the world.
